Customer & Product Policies

Policies & Ordering Information

At To A Tee Designs, our goal is to make ordering custom apparel and products as easy and straightforward as possible. Because every project is a little different, the policies below help set clear expectations and keep orders moving smoothly from quote to delivery.

If your project has unusual requirements or you have questions about any of these policies, just ask. We’re happy to talk through the best option for your order.

Quotes, Orders & Payment

Quotes are valid for 30 days unless otherwise noted. After that time, pricing may change based on garment, material, supplier, or production costs.

An order is considered approved once the artwork and order details have been finalized and approved by the customer.

Most orders require a minimum 50% deposit before production begins, with the remaining balance due at pickup or before delivery or shipment. Some orders may require payment in full before production depending on the project.

Invoices are sent electronically and include an online payment link. Local customers may also arrange to pay in person.

Established businesses, schools, government entities, nonprofits, and other professional clients may qualify for purchase orders or approved payment terms. Net 30 through Net 90 terms require prior approval from a To A Tee Designs account manager.

Changes to quantities, garments, artwork, print locations, personalization, or other specifications after approval may affect pricing and turnaround time.

Cancellations & Changes

Orders may be cancelled before production begins; however, costs already incurred are nonrefundable. These may include garments, specialty materials, artwork or design work, setup costs, shipping, or other project-specific expenses.

Once production has begun, custom orders are generally considered final and nonrefundable.

If an order paid by deposit is cancelled, any remaining deposit balance will be reviewed after completed work and nonrefundable expenses have been deducted.

Rush fees are nonrefundable once expedited scheduling or production planning has begun, except when To A Tee Designs is unable to meet an accepted rush deadline due to an error or delay within our control.

Artwork & Production-Ready Files

For the best results, we prefer production-ready artwork whenever available. Artwork requirements vary depending on how the product will be decorated.

For screen printing, vector artwork such as AI, EPS, SVG, or production-quality PDF is preferred. High-resolution artwork may also be usable depending on the design.

For DTF printing, high-resolution artwork with a transparent background is preferred. A PNG at approximately 300 DPI at the intended print size generally provides the best results.

Embroidery artwork must be professionally digitized into a stitch file, and rhinestone designs may require conversion into a production-ready rhinestone pattern.

A file being vector, editable, or high-resolution does not automatically mean it is production-ready. Production-ready artwork is artwork that can move into the selected production process without meaningful recreation, correction, cleanup, or redesign.

Minor artwork preparation may be included with an order. Artwork requiring significant cleanup, recreation, vectorization, tracing, redesign, font replacement, or other substantial work may incur an artwork fee. We will let you know before completing significant billable artwork work.

Production files, separations, embroidery digitizing files, and other working files created specifically for our production process are not automatically included with the finished order. If editable or production-ready source files are needed for outside use, please discuss this with us in advance.

AI-Generated Artwork

AI-generated artwork can be useful as a concept or starting point, but it is often not production-ready and is generally not our preferred format for finished artwork.

AI images may contain distorted lettering, inconsistent details, unwanted artifacts, inaccurate logos, unusual shapes, or low-resolution elements that are difficult to reproduce cleanly.

AI-generated artwork may require cleanup, redrawing, vectorization, recreation, or other preparation before it can be used. Additional artwork fees may apply when this work is necessary.

Proofs, Revisions & Approval

Digital proofs or mockups are provided when appropriate before production.

Please review proofs carefully. Approval confirms that visible details are correct, including spelling, names, dates, numbers, wording, artwork, colors, print locations, and overall layout.

We may point out an obvious issue when we notice one, but To A Tee Designs cannot guarantee proofreading of customer-provided information.

Once a proof is approved, we produce the order based on that approval. If the finished product differs from the approved proof because of an error on our part, we will work with you to make it right.

Errors that were visible on an approved proof—including misspellings, incorrect names, dates, numbers, or other customer-approved information—do not qualify for a complimentary reprint or refund.

Reasonable minor revisions are generally included. Extensive revisions, repeated changes, significant redesigns, or changes in creative direction may result in additional artwork fees. We will let you know before additional billable work is completed.

Color & Print Placement

Colors displayed on phones, tablets, monitors, and digital proofs are representations and may differ from the finished printed color.

Our standard ink colors are available without a custom color-matching fee. When a specific Pantone/PMS color is required, custom color matching is available for $30 per matched color, per production run.

Pantone matching is intended to achieve a close match to the specified color. Garment color, fabric, ink, underbases, materials, and production conditions can affect the final appearance.

Digital mockups also provide an approximate representation of artwork size and placement. Unless a specific placement has been agreed upon in writing, artwork will be positioned using our standard production placement. A variation of up to approximately ½ inch from the intended placement is considered within normal production tolerance.

Garments with pockets, seams, zippers, hoods, unusual construction, or significant size variations may require placement adjustments.

Digital Mockups & Samples

Digital mockups are our standard method for reviewing artwork, placement, colors, and overall design before production.

Digital mockups are visual representations rather than physical samples, so actual garment color, print size, placement, texture, and finished appearance may vary slightly.

Because screen printing requires significant setup, To A Tee Designs does not produce physical pre-production screen-print samples.

For very small quantities or single decorated items, another production method such as DTF may be recommended when appropriate.

Setup & Production Fees

Setup requirements vary by decoration method.

Depending on the project, fees may include screen-print setup, embroidery digitizing, artwork preparation, specialty color matching, rhinestone setup, specialty materials, or other production-specific preparation.

Any applicable setup or production fees will be included in the quote or invoice before production begins.

Setup fees cover work required to prepare an order for production and are generally nonrefundable once that work has been completed.

Turnaround Times & Rush Orders

Most standard orders are completed within approximately 7–10 business days after:

  • Final artwork and order details are approved
  • The required deposit or payment has been received
  • Necessary garments and materials are available or secured

Turnaround times may vary based on order size, decoration method, product availability, specialty materials, artwork requirements, and production schedule.

If your order is needed for a specific event or deadline, please provide that date when requesting your quote.

Rush production may be available depending on our current schedule, product availability, order complexity, and required completion date. Rush fees are quoted individually and must be paid in full before rush production begins.

A rush deadline is not considered accepted until To A Tee Designs has confirmed the date and the applicable rush charge has been approved and paid.

Supplier delays, shipping disruptions, severe weather, equipment issues, or other circumstances outside our reasonable control may affect production schedules. If an unexpected delay occurs, we will communicate with you as soon as reasonably possible.

Order Quantities & Production Spoilage

Pricing is based on the quantities and specifications included in the approved quote.

Changes to quantities may affect per-piece pricing, setup requirements, production time, or the overall order total.

While we make every reasonable effort to produce the full quantity ordered, occasional garment defects or production spoilage can occur.

Orders may be subject to an under-run of up to 3% of the total quantity. Customers are not charged for items that are not successfully completed and delivered.

If an exact finished quantity is required for an event, team, employee group, participant list, or other purpose, please let us know when placing the order so additional garments can be ordered when appropriate.

To A Tee Designs will not intentionally produce and charge for quantities above the approved order without customer authorization.

Customer-Supplied Garments

We are happy to consider customer-supplied garments and other items for decoration; however, we generally recommend purchasing garments through To A Tee Designs whenever possible.

Because we did not source customer-supplied merchandise, we cannot verify how an item was manufactured, stored, washed, treated, coated, or previously handled—or guarantee how it will respond to printing, heat application, embroidery, or another decoration process.

Customer-supplied items are accepted at the customer’s risk.

To A Tee Designs does not guarantee or reimburse the replacement value of customer-supplied merchandise that is damaged or becomes unusable during the normal decoration process.

If a decoration error is determined to have been caused by To A Tee Designs, we will review the decoration charges associated with the affected item and work with the customer toward an appropriate resolution. Replacement of customer-supplied merchandise is not guaranteed.

Customer-supplied items should be new, clean, unworn, unwashed, sorted, and ready for production. Items requiring unusual preparation, unpacking, sorting, tag or sticker removal, or other additional handling may incur additional charges.

Production turnaround does not begin until all customer-supplied items have been received, counted, reviewed, and accepted.

Late delivery of merchandise may move the completion date. If expedited production is needed to maintain the original deadline, rush charges may apply.

Garment Sizing, Colors & Manufacturer Variations

Sizing can vary between brands, styles, fabrics, and manufacturers. A medium in one garment may fit differently than a medium in another.

Size charts are available for many products and should be reviewed before ordering when fit is important. To A Tee Designs is not responsible for incorrect sizes selected or approved by the customer.

Actual garment colors may vary slightly from digital images because of screen settings, photography, lighting, fabric, dye lots, and manufacturing processes.

Minor differences in garment color, fabric texture, construction, sizing, or finish between production runs or dye lots are normal manufacturer variations and are outside the control of To A Tee Designs.

If an approved product becomes unavailable, we will contact the customer before making a significant substitution. When appropriate, we may recommend a comparable item based on style, quality, fit, color, availability, and price.

Personalization

Personalization may be available on select products and decoration methods.

Not all garments, products, designs, or production methods are suitable for names, numbers, monograms, titles, player information, or other personalized details. Personalization must be approved by To A Tee Designs before it is considered part of an order.

Customers are responsible for providing and reviewing all personalized information, including spelling, capitalization, punctuation, names, numbers, and dates.

For online orders where customers enter personalization directly, the information submitted will generally be treated as the approved personalization.

Personalized items are final sale unless To A Tee Designs made a production error.

Returns, Reprints & Claims

Because our products are custom-made, decorated and personalized merchandise is generally final sale and cannot be returned or exchanged because of incorrect size selection, change of mind, or other customer preference.

If you believe an order contains a production error or defect caused by To A Tee Designs, please contact us within 7 calendar days of receiving the order.

Photos and a description of the issue may be requested, and affected items should remain unworn, unwashed, and unaltered until the issue has been reviewed.

If we determine that an item was produced incorrectly compared with the approved order or artwork, we will work toward an appropriate resolution. Depending on the circumstances, this may include repair, replacement, reprint, account credit, or refund of the affected item or service.

Customer-approved artwork errors, incorrect customer-selected sizes or products, normal production variations, customer-supplied garment issues, and damage caused by improper care or normal wear are not considered production defects.

Claims submitted after the 7-day period will be reviewed on a case-by-case basis.

Shipping, Delivery & Pickup

Customers will be notified when an order is ready for pickup. Please wait for confirmation before arriving.

Orders should be picked up promptly after notification. If an order cannot be picked up within 30 days, please contact us to make arrangements.

Local delivery may be available depending on the order, location, and schedule. Applicable delivery charges will be included in the quote or invoice.

Shipping charges are based on destination, package size, weight, and shipping method.

Customers are responsible for providing a complete and accurate shipping address. Additional costs resulting from an incorrect or incomplete customer-provided address may be the customer’s responsibility.

Once an order has been transferred to the shipping carrier, transit times are outside the direct control of To A Tee Designs. We will make reasonable efforts to assist with tracking and carrier claims if a package is delayed, lost, or damaged in transit.

Care Instructions

Proper care helps extend the life of both the garment and its decoration.

Always follow the garment manufacturer’s care label. When care instructions differ, use the more gentle or restrictive method.

For most screen-printed and DTF apparel:

  • Turn garments inside out before washing
  • Wash in cold or cool water with similar colors
  • Use a mild detergent
  • Avoid bleach unless permitted by the garment manufacturer
  • Tumble dry on low heat or hang dry when possible
  • Do not iron directly over printed artwork

Embroidered garments should be washed gently and protected from excessive heat and abrasion.

Rhinestone and specialty-decorated garments should be turned inside out, washed gently in cold water, and hang dried whenever possible. Do not iron directly over rhinestones or applied embellishments.

High heat, harsh chemicals, abrasion, repeated wear, and improper laundering can shorten the life of decorated apparel. Normal wear or deterioration caused by use or improper care is not considered a production defect.

Online Stores & Pre-Order Programs

To A Tee Designs offers online ordering programs for schools, teams, businesses, organizations, events, fundraisers, and other groups.

Most stores operate as pre-order stores. Orders are collected during a defined ordering period and produced together after the store closes.

Each store will have a published closing date. Orders placed through the store are not typically produced immediately.

Late orders are not guaranteed to be accepted. When possible, we may accommodate them if doing so will not disrupt purchasing or production. Additional charges or a later fulfillment date may apply.

Requests to extend or reopen a store are subject to approval and may affect the production and delivery schedule.

Depending on the program, orders may be shipped individually, packaged for group distribution, made available for local pickup, or fulfilled using a combination of methods.

Pricing may depend on final quantities. When applicable, the sponsoring organization may choose to purchase additional merchandise to reach a quantity pricing level.

Fundraising can also be incorporated into an online store when arranged with the sponsoring organization in advance.

Customers placing individual store orders are responsible for selecting the correct product, size, color, personalization, and shipping or pickup information.

Specialty & Promotional Products

Promotional products and specialty items may have different minimum quantities, setup requirements, production times, imprint areas, and decoration options than apparel.

Applicable minimums and charges will be included in the quote before the order is approved.

Lead times may vary based on manufacturer availability, production method, and shipping requirements.

Digital or manufacturer proofs may be provided when applicable. Approval confirms acceptance of visible artwork, wording, imprint size, and placement.

Minor variations in product color, materials, construction, imprint placement, or finished appearance may occur within normal manufacturer tolerances.

If a product becomes unavailable or discontinued, To A Tee Designs may recommend a comparable alternative. Significant substitutions will be discussed with the customer before proceeding whenever practical.

Because many specialty and promotional products are produced specifically for the customer, changes or cancellations may not be possible once ordering, setup, or production has begun.

Copyright, Trademarks & Customer-Provided Content

Customers are responsible for ensuring they have the right or appropriate permission to reproduce artwork, logos, photographs, names, trademarks, copyrighted material, or other content submitted to To A Tee Designs.

By submitting content for reproduction, the customer represents that they own the material, have appropriate authorization, or otherwise have the legal right to have it reproduced.

Company logos, school and university marks, athletic logos, licensed characters, professional and collegiate team marks, photographs, names, and likenesses may require authorization.

To A Tee Designs may request proof of permission and reserves the right to decline projects we reasonably believe may involve unauthorized use of protected material.

Acceptance of artwork by To A Tee Designs does not confirm that the customer owns or has permission to use it.

By submitting artwork or other content for reproduction, the customer accepts responsibility for its use and agrees to defend, indemnify, and hold harmless To A Tee Designs, its owners, employees, and representatives from claims, losses, damages, costs, or expenses arising from customer-supplied content when the claim results from the customer’s lack of authorization or legal right to use that material.

Order Acceptance

We review each project to make sure the requested product, artwork, decoration method, timeline, and materials are a good fit for our production capabilities.

To A Tee Designs reserves the right to decline a project that we determine cannot be completed safely, legally, appropriately, or to our normal quality standards.

If a concern is identified, we will make reasonable efforts to discuss available alternatives whenever possible.
